Appointment Letter

The formal document confirming a new employee's job offer terms — role, salary, and start date — once they've accepted.

An Appointment Letter is the formal document a company issues once a candidate accepts a job offer, confirming role, reporting structure, salary structure, start date, and key policies. It's distinct from the initial offer letter, which is typically issued earlier and can still be negotiated.

The appointment letter is usually the first document that sets the employee's official terms of employment on record — most subsequent HR processes, from payroll setup to probation confirmation, reference it as the source of truth.
